Collaboration in Lucidchart and Lucidspark is built for real-time teamwork. However, not everything you see in a document is shared equally among collaborators. While changes to content and core document settings update for everyone instantly, some settings remain personal to each user.
Settings that sync for all collaborators:
Â
Document content and elements
Any edits you make to content on the canvas are immediately visible to all collaborators. This includes:
- Shapes, text, connectors
- Images, icons, sticky notes, containers
- Layers, groups, lines, and comments attached to objects
Â
Specific document settings
These are configured under File → Settings → Document Settings and apply universally to all collaborators:
- Canvas and page: background color, infinite canvas toggle, page size & format, orientatio
- Language settings
- Line jumps configuration

More information on this feature can be found in our Help Center article on Document and Board Settings.
Â
In the collaborator dropdown
The Collaborator colors and Show Authors features are also synced across users.

For more details on this functionality, check out our Collaborate in Lucid Help Center article.
Â
Document status and classification
Whether the document is marked as Draft, Pending Review, or Approved, the status is visible to all users. It is also the case for classification. You can learn more about these features for Team and Enterprise accounts here.
Â
Access via Share LinksÂ
Sharing settings such as expiration date, passcode requirement, guest collaborator access, and account-only restrictions all sync across collaborators accessing the doc via shared link.
Â
Published links
If one collaborator publishes the document (via Share → Publish Link), all users with access can:
- See that the document is published
- Access the published URL
- Modify or disable it (with the right permissions)
For more information on this functionality, we recommend going through our article on Publishing and Embedding Lucid documents.
Â
Converting a shared document into a Template
When you convert a document that is already shared with collaborators into a template, it becomes a template for those collaborators as well. Everyone who has access to the original document will also see the “New from Template” option. If you would like to learn how to create a custom template, see this section of our Help Center article.
Â
Settings that don’t sync for all collaborators:
Â
Specific document settingsÂ
These options, that can also be found under File → Settings → Document Settings, are not shared and are applied per user:
- Margin visibility
- Ruler display
- Grid display
- Spell check
- Show comments & notes
- Line connections visibility
Â
Personal viewing and editing behavior
Zoom level and sidebar display preferences are saved locally per user and don’t affect others. WebGL usage (for hardware rendering) is also handled per device/user.
Â
In the collaborator dropdown
The Show cursors, Color legend and Show reactions settings do not sync across users.
Â
We hope this helps you and your team to stay even more aligned! Have you ever used any of these settings in your own documents? Let us know in the comments below!
Cheers!
