How to Unlink or Delete Data from an Org Chart

Hello

 

I have created an internal org chart in Lucidchart using an internal google sheet for various fields.  Some of these fields are sensitive and I want to remove them from the org chart/underlying data set before sharing with the wider organization (some fields contain info on Compensation etc.)  How can I remove either specific fields or the underlying data set in general and be left with just the org chart?

Thank you for posting your question in the Lucid Community! In order to delete or remove a data field from view within Lucidchart:

  1. Select the Org Chart
  2. Open the Contextual Panel on the righthand side
  3. Click into the Layout tab and expand Employee Fields
  4. Here you can remove a field from view or you can delete it entirely

Please note: If you share a data-linked document with another Lucidchart user then your collaborator will be able to see the full data set linked to your document even if the data field is not visible in the Org Chart. If you share a document as “view-only” your collaborator can still see any data you’ve linked to your document and can access this data by making a copy of your data-linked document. With this in mind if the data is sensitive I recommend actually deleting the field so that it will not be viewable or accessible when sharing the Org Chart document. 

You can also delete a column from your original Google Sheet and then replace your data set so that the sensitive field is removed from your Org Chart. For more information about how to update or delete a data set please check out these step by step directions in this Help Center article. Please be sure to replace your data set rather than delete and re-upload if you would like to preserve any data mappings you have applied to your chart.

Related to unlinking an org chart -- 

I used a Google Sheet to import data and have our org chart created. Unfortunately, making changes in the spreadsheet and having them reflect properly on the Lucid org chart has become so frustrating that I want to just disconnect the spreadsheet altogether. Now that a majority of my employees have been represented, I feel like it would be easier for me to just manually add/remove/move people throughout the org chart. How can I disconnect the spreadsheet, but have the custom org shape available to use in the shape library as we add new employees?

I don’t have the option Delete Field under employee fields. I am the owner/creator of the lucid org chart. Is there another way to delete a field from an org chart? 

I also don’t have the capability to download the data set to a csv.

Thank you for your post sorry that you did not receive a reply until now. You can add new shapes manually without updating the sheet, you don’t need to remove the data to do this.

Do you see the delete field option missing on all the fields or just one? If it is just one, what field are you seeing this issue on? Could you try opening your document in a private or incognito window to help us narrow down the potential cause? Could you also try connecting to a different network or disconnecting from your VPN (if applicable)? Sometimes account performance issues can be related to internet security/speed or browser issues. It’s all fields that don’t have that option. My company uses SSO to log into this platform, so I am unable to try the ignognito window. I am not connected via VPN at the moment.

Hi @Wendy P,  Can you please try clearing your cache and cookies in a regular browsing session and try again? Can you also try disabling your extensions? 

Could you try duplicating the document to see if issue persists in other documents?

To be clear, I never had that option before so I don’t think clearing cache is the issue. However, I did that (made sure to choose “all time”), and it didn’t work. I checked all my org charts and that is not an available option.

Could it be that functionality is not included in our enterpise edition? Or possibly we have different access levels within our organization? It doesn’t make sense why an owner of a document couldn’t use this functionality.

Hi @Wendy P

Thank you for providing that support pin. Are you creating your org chart by dragging information from the Data Panel? Could you try importing your data into an Org Chart by following the steps in this Help Center article? You should see the Delete Field options after importing data this way.

I removed all the data as it is sensitive data to outside people and left one person on the org chart as an example for you to see. My data is uploaded via an excel file, and I have almost 300 people on the charts.
