Hi,

I’m fighting a  little with internal sharing and I just want to see if I am missing something obvious.

We have sharing locked down to our company domain so that we can create sharing links for internal use.
 

In testing we have noticed that if you use the shareable link and you are not a company user - the diagram starts loading and then you get a prompt saying you need to login.
 

The issue this causes is that you can still see elements of the diagram that isn’t hidden by the prompt - which can still cause problems if the diagram contains sensitive information.

 

Is there a way to set it so that a shared document doesn’t even load if you don’t meet the sharing requirements?

 

Ideally mirroring what happens when you are trying to share a folder - it just redirects to the login page.

 

Would be great if someone can point me in the right direction. :)

I did read that thread before posting but it doesn’t cover what I was expecting from the sharing options.

 

I basically don’t want the diagram to partially preview publicly when a shareable link is created.

 

If a link is set to only be visible to a certain domain - I would have expected it to be truly private but what seems to be the case is it still partially renders it publicly to advise ‘you don’t have permission to this’ which still shows potentially private information.


Hi ​@gfletcher, thank you for posting in the community! Typically if you are logged in and you try to access a shareable link from another account where sharing is limited to only that account, it should display the following message on a blank background: 

Could you please confirm how you’ve changed your share settings? Is this in the admin panel? When shareable links are limited to account-only, this is what the share window would look like. Is this what you’re seeing as well?  

 

If possible, can you please share an example screenshot of what you are seeing? Feel free to do this with one of our templates so that you don’t share any private diagrams or information. This will help me take a closer look at what you’re experiencing. Thanks!

So upon further testing what I am seeing is only applicable to previously shared diagrams. New diagrams we are sharing are working as I expected.

 

It loads in incognito with this prompt and shows the diagram behind the prompt:

 

I remove the share links & toggle share to off and reshare but it doesn’t change it when I create a new share link.

Is there a way to properly purge the shared links so it forgets they were ever shared so we can reshare as a new link?


Hi ​@gfletcher, thank you for the update! To confirm, are you refreshing the browser page and accessing the shareable link again when you see that popup message? Or does it only appear when you’re viewing the document and the owner toggles shareable links off?

If you are viewing the document, the popup message is expected but users should no longer see the document in the background when they refresh the page. Please let me know if this is not what you are seeing. Thanks!

No it pops up on new browsers, new incognito modes etc by pasting the private share link into the browser.

 

Additionally you can still see the diagram fully rendered behind the popup.
