I’m looking to license an existing user to replace an old user and I would like to transfer ownership of all the old user’s documents to the user who we’re going to upgrade the licenses for.

How can I do this while also transferring the license from the old user to the other user? I cannot transfer document ownership to a non-licensed user. The system seems to be requiring me to purchase an additional license, which I don’t need, before I can free up the license from the old user.

You can replace an old user with a new one, but Lucidchart’s licensing system introduces a key limitation:

  • The new user must be licensed before document ownership can be transferred.
  • If all license seats are in use, you can’t de-license the old user first without losing access to their documents, and you can’t transfer ownership to an unlicensed user.

This means you may need to either

  • Temporarily increase your license count or Use precise timing, transfer documents first while both users are licensed, then remove the old user's license.

Lucid doesn’t allow transferring a license and ownership in one step. Ownership transfers require the receiving user to already hold an active license.

Hi ​@Jon C., thank you for posting in the community! Just chiming in with some additional information. Like Huma mentioned, it’s not possible to transfer licenses and document ownership in one step.

I would recommend first delicensing the user and transferring the documents to your default document owner. Then assign the license to the new user. 

Once the new user is licensed, you can use Document Discovery to search the documents owned by your account. Then, you transfer ownership of the individual documents contained in the folder, by following the steps outlined in the Transfer document ownership section of the above article.

Alternatively, you can share the folder with the user that you wish to be the owner - and that user can make a copy of the folder. The user will then be the owner of that new copied folder.
