Every time I replace the data set in an org chart, it creates new employee fields for each shape, which would require me to select all the shapes and select all the new employee fields to update to the data.

Is these a way to link a data set to Google Sheets and keep all the same employee fields the same each time the linked data is replaced?

I need to replace the data set when adding new employees.

The image below illustrates that the 2 different data sets (example: 1.- Employee ID & then Employee ID (at the bottom), and then if I were to replace the dataset again, then it would create another version (1)1.-Employee ID.

Hi @jyork

When you are replacing the data, are you using a new google sheet or an updated version of the same google sheet?

I’m using the updated version of the same google sheet.

I was reading that when you add additional employees, you need to need to replace the data set in order to link the new data to the new shapes.

I replace the dataset with the same/updated google sheet.

Hi @jyork

Thank you for the reply! I unfortunately am unable to replicate this issue on my end. Other than adding employees, is there any other changes you make to the document?

For Excel and CSV sheets you do need to replace the data to update the shapes. However, with google sheets, you can refresh your data set. Do you see the same issue when you use this option?

I think I was able to figure out a solution to my initial question about when I replaced the data set that new employee fields would generate - by starting over with a new blank document and importing and then linking the data from google sheets.

Initially I had created the org chart, then exported the cvs, and then linked the data. This was creating the new employee fields.

However, I am still having issues adding new employees to the org chart and linking to the gsheets data.

In this example, I added a new shape, as well as a new row of data.

  1. I’ve tried to replace data set with the gsheets data
  2. And I’ve tried to drag the row of data to the shape to link it

The data is not linking to the shape.

Is there a tutorial on data linking org charts and then after linking, adding new employees?

Thank you!

Hi @jyork

With the first issue, (additional fields) were you dragging the data to the shapes and then seeing the additional fields? I think its possible that was causing the issue.

As for this second issue you mentioned, I would recommend importing your data by using the Import Data feature in the Shapes Panel (pictured below). This will allow you to refresh the linked data in Google Sheets so you don’t have to continually replace the data.

You can find a tutorial on data linking in Org Charts and refreshing in this Help Center article.

This helps a lot and problem solved.

I was replacing the data set on the left side under the data icon, which did not work as well.

It works when I select replace the data set on the right side of the screen under the data tab.

Thank you.

@jyork Glad that helped! please let me know if you have any other questions or concerns.
