Hi @GlenC
I’m happy to hear that you’re making Lucidchart your default tool while ensuring seamless access for both licensed and non-licensed users.
Lucidchart offers several ways to share your diagrams with users who do not have a Lucidchart account:
A. Public Links
You can generate a public link for each map, allowing anyone with the link to view the document without needing to sign up for an account.
B. Unrestricted Access
You can configure the sharing settings to permit viewing and downloading without restrictions. Here’s how:
- Open your Lucidchart document.
- Click on the “Share” button in the top right corner.
- Select “Share Link” and set the permissions to “View Only.”
- Ensure the option “Anyone with the link can view” is selected.
- Copy and distribute the link to your non-licensed users.
C. Embedding Diagrams in SharePoint
You can also embed your diagrams directly into SharePoint Online, making them easily accessible to all staff. Here’s how:
- Open your Lucidchart document.
- Click on “Share” and select “Embed.”
- Copy the embed code provided.
- Navigate to your SharePoint site and edit the desired page.
- Add a “Embed” web part and paste the embed code.
- Publish the SharePoint page to make the diagram accessible to all employees.
Here are some tips for creating a Structured Repository for Lucidchart Maps.
-
Organizing Maps in Lucidchart
Utilize folders to organize your maps logically.
For example, create folders based on departments, projects, or processes.
- Go to “My Documents.”
- Click on “New Folder” and name it appropriately.
- Drag and drop relevant maps into their respective folders.
- Central Repository on SharePoint
You can create a centralized repository on SharePoint where all published Lucidchart maps are accessible.
- Licensed users can export maps as PDF or image files and upload them to SharePoint.
- Set up workflows using Microsoft Power Automate to automatically export and upload new or updated maps from Lucidchart to SharePoint.
- Example Workflow
- New map created or existing map updated in Lucidchart.
- Export the map as PDF/Image.
- Upload the exported file to a designated SharePoint folder.
If you require further assistance, please contact the support team to guide you through setting up these integrations and workflows to ensure a smooth transition to using Lucidchart as your primary process mapping tool here: Submit a request – Lucid.
Hope this information helps.
