Disable the creation of license requests when content is shared with a limited-access user

When User A shares Lucid content C with limited-access User B, a license request is created, with the notification email reading “New Lucid license request from User B: User A is requesting a license on behalf of User B. I'd like to collaborate on Content C.”

This is an incredibly unwelcome change, and seems like a deliberately misleading attempt at inflating seat counts. A big part of the reason we moved from Miro to Lucid was Miro’s automated over-licensing of accounts, so it is especially disappointing that Lucid is moving in this direction.

Thanks for the feedback! This feature exists to prevent limited-access collaborators from opening a shared document, but then being unable to edit. Since limited-access users typically can’t edit documents (except for up to five Lucidspark boards per year), a licensed user can choose to request a license for them when sharing with edit permissions.

However, these requests are never automatically generated. The person sharing the document must choose to submit the request.

Are you able to share the exact flow that results in the notification email reading “New Lucid license request from User B: User A is requesting a license on behalf of User B. I'd like to collaborate on Content C”? I'm not seeing the option to generate that in my testing.

Here is the flow:

 

  • User A shares a document with edit permission with User B by typing their name in the share modal to directly share with them (not sending them a link)
  • User B doesn't have a license but already has a Lucid account with your company
  • In the share panel User A can select "Request a license on for User B" and provide a justification if they wish
  • Admin gets an email with that license request
  • These requests will not be automatically approved and require manual approval

Thanks, I’ve been able to recreate that now, and it explains what I’m seeing. When a licensed user clicks “Share”, the resulting modal defaults to “edit and share”, with “request license” ticked, and "Include a note for your admin" pre-filled with the "I'd like to collaborate on Content C" text.

This may not constitute automation per se, but it is certainly automatic in the sense that the default share options generate a license request, and include a written justification generated by Lucid. In practice, multiple users in my organisation have unintentionally submitted license requests this way, resulting in unnecessary admin overhead.

This change means the path of least resistance creates a license request with the appearance of intentionality, which is likely to result in increased headcount, regardless of the actual license requirements.

Please ensure my feedback is shared with the relevant team - if necessary it can be reworded to "remove the default behaviour of creating license requests when content is shared with a limited-access user".

Today we received 6 unintentional license requests from a simple board sharing action.
