Deciding between organizational groups and groups (sharing) in the admin panel? 

Here are our recommendations and a few best practices to help you determine which is best for your account! 

 

Quick note: on December 18th, 2023 we released the organizational group experience for Enterprise accounts. Many accounts were automatically moved to the new experience, but if your account was not automatically migrated, read the post below for more information. 

 

 

Organizational Groups (recommended) 

  • Organizational Groups are not intended for the purpose of sharing documents. 
  • Organizational Groups allow license settings in Lucid to be configured and applied at the group level. Note that a user can only belong to one organizational group.
  • Most accounts use org groups to integrate with SCIM to provision licenses. The best practice is to set up two org groups: a license group and de-license group.
    • Note that enabling org groups removes your ability to assign licenses to single users with SCIM.

Groups (sharing)

  • Groups (sharing) are used for sharing purposes, allowing you to share with a group instead of adding individual collaborators. If your account was not automatically migrated to the new experience, your groups will appear here. 
  • To organize your teams and documents, we highly recommend using team hubs instead of groups. For more information on managing teams in the admin panel using team hubs, we recommend reading through this article.
  • SCIM cannot be used to manage groups, and groups can only be updated manually or through CSV upload.

Q: Should we use organizational groups or groups (sharing) for user management?

A: For the best user management experience, we recommend organizational groups.

 

Q: How do I migrate my account to the organizational group experience?

A: To opt in, click here and let our support team know you’d like to opt in to organizational groups for your account. 

 

Q: How can I optimize my SCIM provisioning using groups?

A: Using organizational groups, SCIM can be used to manage licensing for each organizational group. Note that SCIM can not be used to manage individual licenses in this experience. 

 

Q: Where can I find organizational groups? I don’t see the option in the admin panel.

A: If you don’t see organizational groups in the admin panel, your account may still be on the groups (sharing) experience. Click here to let our support team know you’d like organizational groups for your account. 

 

Q: What do organizational groups look like?

A: Below is an example. Organizational groups can be accessed in the admin panel under groups. Notice in the example below, there is a licensed user group and a limited access user group.
